What we hold, and how to have it removed.

Written plainly, because a privacy page nobody can read protects nobody. If anything here is unclear, ask us and we'll answer it directly.

Who we are

What we collect, and where it came from

Publicly available business information

When we look at a business, we record what we found from public sources - the business name, what it does, its suburb, its public website and social profiles, its public listings and reviews, and public register information such as an ABN. This is the same information anyone could look up.

Information you give us

If you fill in a form on this site, reply to an email, or call us, we keep what you sent - your name, business, contact details, and whatever you told us - so we can respond and so the conversation makes sense next time.

Information about how a page you were sent is used

If we send you a private review or presentation page, that page records a small number of first-party events: that the page was opened, and if it contains a film, that it was played, reached its midpoint, or finished. This is how we know whether something we sent actually arrived and worked.

What that is not. There is no tracking pixel in our emails, no cookies, no fingerprinting, no advertising network and nothing that follows you to any other website. The events come from your browser on one private page that was built for you, and nowhere else.

It identifies a browser, not a person - if you forward your link to a colleague and they open it, that reads the same as you opening it. We treat these signals as an indication, never as proof.

What we do with it

We do not sell, rent, licence or trade your information. To anyone. Ever. There is no list, and there is no arrangement under which anyone else receives it.

We also don't buy it. We don't use purchased contact lists or data brokers, which is why you'll only ever hear from us about a business we actually looked at.

Who else can see it

A small number of service providers hold data on our behalf in order to run the business. They process it for us and are not permitted to use it for their own purposes:

Some of these providers store or process data outside Australia. We would otherwise only disclose information if we were required to by law.

How long we keep it

For as long as it is useful to the relationship, and then no longer. If you tell us you're not interested, we keep only enough to make sure we don't contact you again - your business name and the fact that you asked us not to.

If you ask us to delete everything, we delete everything except your business name on a do-not-contact list - because otherwise we'd have no way of knowing not to write to you again. If you'd rather we didn't keep even that, say so and we'll remove it too.

Security, and the one thing we'll never ask

Accounts are protected with strong, unique credentials and multi-factor authentication where the provider supports it. No system is perfect, and we'd rather say that than claim otherwise.

We will never ask you for a password, an access key, a token, or for you to forward us a login. Where we need access to something of yours, you add us as a user on your own account, in your own name, and you can remove us in one click.

This is worth carrying beyond us: if anyone asks you to email them a password, that is the moment to stop.

If you're unhappy with how we've handled your information, tell us first at hello@thecoalesce.co - we'd like the chance to put it right. If you're not satisfied with our answer, you can raise it with the Office of the Australian Information Commissioner at oaic.gov.au.
